One negative can sit on your account for a year, and most of the advice about removing it is out of date.
eBay rewrote its feedback policy after admitting that automated reviews had gone too far — removal requests that should have qualified were being denied, with no route to appeal. The current policy is considerably more specific about what qualifies, and removal requests now get a manual review rather than an automated one.
This covers exactly what eBay removes under the current rules, the window you have to ask, and what to do in the common case where removal isn’t available.

Deciding how to handle negative feedback on eBay

Checked against eBay’s current Feedback Policy, including the removal categories introduced in the updated policy.

The Short Answer

Start here

eBay’s own policy says buyers don’t expect to see 100% positive feedback, and that eBay won’t contradict a buyer’s opinion or judgement of an item.

So feedback that’s simply harsh stays. What gets removed is feedback that’s harmful, irrelevant, or contradicted by something eBay can verify — and that covers more ground than most sellers realise.

eBay’s own position, in its policy, is that buyers don’t expect to see 100% positive feedback and that eBay won’t contradict a buyer’s opinion or judgement of an item.
So feedback that’s simply harsh, or where the buyer disagrees with you, stays. What gets removed is feedback that’s harmful, irrelevant, or contradicted by something eBay can verify in the transaction record.
The good news is that “something eBay can verify” covers far more ground than most sellers realise — including several returns and cancellation situations that older guides say aren’t removable.

Which Route Applies to You

Three questions, in order. Stop at the first yes.

1. Does it match eBay’s removal list?

Harmful content, extortion, disclosed faults, cancellations, returns you handled properly → Request removal via Seller Help

2. Have you fixed it, and is the buyer reasonable?

Refunded, replaced or resolved → Ask for a revision

3. Neither of those?

eBay recommends this too → Write a public reply

Most sellers land on the third. That isn’t a failure — eBay explicitly recommends replying to negative feedback with a thoughtful response, and that reply is read by every future buyer who checks your profile.

You Have 90 Days

THE DEADLINE

90 days

From when the feedback was left, to request removal. After that the route closes whatever the merits.

If it qualifies, it’s removed within 24 hours.

Sellers have 90 days from when the feedback was left to request removal.
That’s the single most important number here, and it’s the one most sellers don’t know. After 90 days the removal route closes, whatever the merits.
If the request qualifies, eBay notifies you by email and the feedback comes off your account within 24 hours. If it doesn’t qualify, you get an explanation of why it didn’t breach the policy.
Practical consequence: check your feedback weekly. A negative you notice on day 95 is one you can’t do anything about, even if it clearly qualified.

Feedback eBay Removes: The Full List

This is the part worth reading properly, because the list is longer and more specific than most sellers assume.

Harmful or irrelevant content

eBay removes comments and images containing:
Content promoting hatred, violence or discrimination
Profane, obscene, adult, illegal or explicit content
Opinions on political, religious or social issues
Implied or explicit threats or intimidation
Personally identifiable information
Links or URLs encouraging sales outside eBay
Infringement of third-party rights
Meaningless content, or images that aren’t of the item purchased
Comments intended for a different item or seller
Negative comments left with a positive rating, or positive comments with a negative rating
Personal attacks that could harm your reputation and couldn’t reasonably be seen as constructive criticism
That mismatch rule — negative words with a positive star rating, or the reverse — catches a surprising number of cases and almost nobody knows about it.

Extortion and manipulation

Feedback used to extort another member, or to manipulate feedback ratings, is removed.
Feedback extortion is where a buyer demands money, a partial refund or free items in exchange for leaving positive feedback, removing negative feedback, or not leaving negative feedback at all.
If a buyer puts that in writing, keep the message thread. Don’t negotiate and don’t respond emotionally. Report it with the messages attached — it’s one of the clearest removal cases there is.

Buyer-related transaction issues

eBay removes neutral or negative feedback where it can see that:
The buyer asked to cancel after placing the order
The order was cancelled because of a problem with the buyer’s address
The order was cancelled because the buyer didn’t pay
The buyer is raising an issue that was correctly disclosed in the listing
The buyer has been actioned under eBay’s abusive buyer policy
The buyer requested a change to the order after paying, and the feedback relates to that
That fourth one is the most valuable line in this article. If you disclosed a fault, a missing part, or a limitation in your listing and the buyer left a negative about exactly that — it qualifies for removal. Screenshot the listing description and include it in your request.

Delivery issues

Neutral or negative feedback is removed when the buyer is complaining about:
A delivery issue where tracking shows the handling and delivery time expectations were met
A delivery delay caused by a natural disaster or unexpected event affecting the carrier
A customs or tax issue outside your control that eBay can identify

Returns issues

This whole category is missing from most guides, and it’s where a lot of removable feedback sits.
eBay removes feedback where the buyer is referencing any of the following:
The item came back used or damaged and you deducted an amount from the refund
You declined a change-of-mind return because the listing didn’t offer returns
The buyer changed their mind and was liable for the cost of the return label
You offer free returns, handled the return, and issued the refund
In other words: if you followed your stated returns policy and the buyer left a negative because they didn’t like that policy, that’s removable. Many sellers assume the opposite.

eBay site and programme issues

Feedback is removed when:
The comment is about not being able to retract a bid
The problem was caused by a technical issue on eBay’s side that eBay can identify
An eBay Money Back Guarantee case or payment dispute closed with you having met your obligations
The item shipped on time via eBay International Shipping or the Global Shipping Programme and there was a shipping-related issue
The item sold under Authenticity Guarantee, shipped on time and passed authentication
The item sold under Guaranteed Fit, the buyer returned it because it didn’t fit their vehicle, and you met all your obligations

What negative feedback eBay will and will not remove

What eBay Won’t Remove

Shorter than the removal list, but this is still where most sellers are.
The buyer disagrees with your description, where nothing was actually misdescribed and no disclosure covers it. eBay states plainly that it won’t contradict a buyer’s judgement of an item.
A delivery complaint where tracking doesn’t back you up. If handling or delivery expectations genuinely weren’t met, it stands.
Harsh but accurate feedback. Being unpleasantly worded isn’t the same as breaching the policy.
A buyer who is simply difficult, without triggering the abusive buyer policy.
Anything over 90 days old. The window has closed.
Being right isn’t the test. The question is whether the situation matches something on eBay’s list.

How to Request Removal

Removal requests go through Seller Help, and a team member reviews them manually rather than an automated system deciding.
Name the specific category. Say which part of the policy applies — “the buyer is raising an issue correctly disclosed in the listing” is a far stronger opening than “this feedback is unfair.”
Attach the evidence. The listing description screenshot, the tracking number, the message thread, the case reference. eBay’s policy says removal decisions are made on factual evidence, so give them the facts.
Keep it factual. The reviewer is matching your case against a list, not weighing who behaved better.
Check the 90 days. Before you write anything, confirm the feedback is still inside the window.
If it qualifies, you’ll be emailed and it’s gone within 24 hours. If not, you’ll get an explanation of why it didn’t breach the policy — which is worth reading, because it tells you how eBay interpreted the situation.

Asking the Buyer for a Revision

Where the feedback doesn’t match eBay’s list, the buyer can still change it themselves.
Use this when you’ve genuinely resolved the problem — refunded, replaced, sorted the delivery — and the buyer’s later messages are reasonable. A revision request sent to someone who’s still angry usually makes things worse.
Sort the problem first. Ask second. That order matters more than the wording.
The request allows a short message. Keep it brief and make it easy to say yes:
Hi — sorry the order didn’t go as it should have. I’ve refunded you in full and sent a replacement at no charge.
If you feel it’s been resolved, I’ve sent a feedback revision request — it takes about ten seconds. Completely understand if you’d rather not.
Either way, thanks for letting me put it right.
What makes this work: apology without excuses, states what was actually done, gives them an exit so agreeing feels voluntary, no pressure.
What kills it: guilt-tripping, explaining how feedback affects your business, or arguing the point again.

How an eBay feedback revision request works

Revision requests are limited, and the buyer has a limited window to respond before the request expires. Check your current allowance in Seller Hub before spending one — don’t burn them on cases where nothing has actually been fixed.

How to Respond to Negative Feedback

This is the route most sellers skip, and eBay itself recommends it. From the policy: sellers should reply to negative or neutral feedback with a thoughtful, well-written response that demonstrates care for the buyer’s experience.
Your reply is permanent and public. Every future buyer who checks your feedback sees the negative and your response — which means a good reply can be worth more than removal.

What a good reply looks like

Refunded in full on the day this was raised. Sorry it fell short.
Dispatched next day with tracking. Carrier delay on this one — postage refunded.
Apologies, this was our error. Replacement sent free of charge.
Why these work: short, factual, no argument. A prospective buyer reads it and concludes you handle problems properly.

What a bad reply looks like

This buyer is a liar, item was perfect, check my other 500 feedback!!!
That does more damage than the negative did. It shows every future buyer exactly what happens if they have a problem with you.
Rules for replies:
Keep it short — a line or two
No capitals, no exclamation marks
Never call the buyer dishonest
Write it the next day, not while you’re annoyed
You’re addressing the next hundred buyers, not the one who left it.

Does Negative Feedback Actually Hurt You?

Less than most sellers assume, and differently than they expect.
Feedback percentage is what buyers see, and it’s calculated from the last 12 months only. Older feedback stays visible on your profile but stops counting toward the percentage. One negative out of 500 barely registers.
Defects are what eBay measures for seller standing, and they’re separate. Your seller level depends on defect rate, cases closed without resolution, and late dispatch — not on feedback comments. A negative with no defect attached doesn’t change your standing. The Below Standard Rating Guide covers what actually counts.
So a single negative is mostly a presentation problem, and presentation problems are solved by a good reply. It becomes serious when negatives cluster — several in a short period usually points to a real operational issue rather than bad luck.

UK and US: What’s the Same, What Isn’t

The same in both markets:
The removal categories and what qualifies
The 90-day request window
The manual review process through Seller Help
The defect system and how seller levels work
The feedback extortion policy
Where they differ:
Consumer law. UK sellers operate under distance selling rules giving buyers a statutory cancellation right; US sellers have no federal equivalent. This changes what returns you must accept — which changes what feedback you get — but it doesn’t change the removal rules.
Programme availability. Authenticity Guarantee, Guaranteed Fit and eBay International Shipping cover different categories in each market, so the programme-related removals apply differently.
For getting feedback removed, treat the process as identical. Where the markets genuinely diverge is in returns, covered in our Returns & Refunds Guide.

Preventing the Next One

Most negatives come from a small number of recurring causes.
Over-describe flaws. Photograph every mark and mention it. This does double duty — it prevents complaints, and if one comes anyway, “correctly disclosed in the listing” makes it removable.
Under-promise on delivery. Set handling time longer than you need. Arriving early creates goodwill; arriving late creates negatives — and if tracking shows you missed your own stated times, it isn’t removable.
Respond within a day. A large share of negatives are really complaints about being ignored.
Refund quickly when you’re wrong. Arguing over a £12 item costs more in feedback than the refund would have.
Message after dispatch. A short note with the tracking number cuts “where is my item” complaints substantially, and that’s where a lot of negatives start.
Check your feedback weekly. The 90-day window only helps if you notice in time.

Frequently Asked Questions

Can you remove negative feedback on eBay?

Yes, in defined circumstances. eBay removes feedback that’s harmful or irrelevant, involves extortion, or is contradicted by the transaction record — including several cancellation, delivery and returns situations. Feedback that’s simply a buyer’s opinion stays.

How long do I have to request feedback removal on eBay?

90 days from when the feedback was left. After that the route closes regardless of merit.

How long does eBay take to remove feedback?

If the request qualifies, you’re notified by email and it’s removed within 24 hours.

How long does negative feedback stay on eBay?

It stays visible on your profile permanently, but only the last 12 months count toward your feedback percentage.

Can I get feedback removed after 60 days?

Yes — the window is 90 days, so 60 is still inside it. Past 90 days, removal isn’t available and a public reply is the only remaining option.

Will eBay remove feedback about my returns policy?

Often, yes. If you declined a change-of-mind return because the listing didn’t offer returns, deducted for a used or damaged return, or handled a free return properly, feedback about that qualifies for removal.

Will eBay remove feedback if I refund the buyer?

Not automatically. But if you offer free returns, handled the return and issued the refund, feedback referencing that does qualify.

Does negative feedback affect my seller rating?

Not directly. Seller level is based on defects, cases closed without resolution and late dispatch — not feedback comments.

What is eBay feedback extortion?

A buyer demanding money, a discount or free items in exchange for removing, changing or not leaving negative feedback. It’s a clear violation — keep the messages and report it.

Can I get feedback removed from a buyer who never paid?

Yes. An order cancelled because the buyer didn’t pay is on eBay’s removal list.

Can I leave negative feedback for a buyer?

No. Sellers can only leave positive feedback for buyers. For a genuine problem, the routes are blocking them and reporting under the abusive buyer policy.

Is feedback removal reviewed by a person or by AI?

eBay uses automation to remove clear-cut policy breaches proactively, but requests submitted through Seller Help get a manual review by a team member.

What if eBay rejects my removal request?

You’ll get an explanation of why it didn’t breach the policy. Read it — it tells you how eBay interpreted the situation. Then focus on a good public reply.
